Google Workspace for Business: What Your Subscription Really Includes and Which Tools Your Team Is Not Using Yet
News | 06.11.2026
Softprom — a Google partner since 2012 and a Google Workspace Premier Partner — helps organisations select, purchase and roll out Google Workspace across Central and Eastern Europe, the Caucasus, and Central Asia. This article covers what a Google Workspace for Business subscription really includes, which services most often go unused, who needs the subscription and who does not, and how to choose an edition for a team of 1 to 1,000+ users.
One Business Box Instead of Dozens of Separate Tools
How many separate services does your team use every day? Email, calendar, video meetings, documents, file sharing, a messenger, an AI assistant, forms, notes, automation. In most companies that is 5–10 subscriptions from different vendors, each with its own login, invoice and administrator.
The Japanese tradition of Fukubukuro (福袋, “lucky bag”) is a New Year bundle that gives you far more than you expected for a single price. Google Workspace works on the same principle, with one difference: the surprise is not unknown contents but the number of services the team already pays for and never uses.
Google Workspace is Google’s set of cloud services for business, combining custom-domain email, video meetings, document collaboration, file storage, the Gemini AI assistant and administration tools in a single organisational account. The main advantage is not the number of applications but how they work together: a client email in Gmail → a meeting in Calendar → a call in Meet → materials in Drive → a discussion in Chat → a proposal in Docs → Gemini summarises the agreements and drafts the reply. All in one window, with no switching between unrelated systems.
Do You Need Google Workspace: 5 Signs
- Email on a free domain or with a local hosting provider. Addresses such as name@company.com build trust with clients and partners; in Google Workspace, custom-domain email is included in every edition from Business Starter.
- Files live in messengers and on laptops. If the current version of a proposal is found in WhatsApp or Slack rather than on a shared drive, the team needs Drive shared drives with access rights and version history.
- The team works across cities and countries. Hybrid and distributed teams need Meet with meeting recording, shared calendars with availability checks across time zones, and documents that open on a phone.
- Repetitive operations are done by hand. Sorting requests, collecting questionnaires, registering equipment, management reports — these are tasks for Forms, Sheets, AppSheet and Workspace Studio, not for an extra employee.
- The organisation does not control where its data is. When an employee leaves and the documents stay in a personal account, you need centralised administration (Admin Console), data retention (Vault) and device management (Endpoint Management) — and under GDPR and NIS 2 you need to evidence it.
When Google Workspace is not needed. If the organisation has already built its processes on Microsoft 365 or Zoho Workplace and the team is used to Outlook and Teams, migration for its own sake will not pay off — a move makes sense when requirements for AI features, licence cost or administration change. The subscription is also surplus for a sole trader who needs only domain email without collaboration, although even there Business Starter is often cheaper than separate email hosting plus storage.
What the return consists of. Count your own cost lines rather than the licence price: fees for 5–10 separate services, administrator hours spent on several systems, team time spent finding files and asking “which version is current”, downtime when a former employee has taken the access, and the cost of a separate video production or a developer for a simple internal app. Google Workspace closes these lines within one subscription.
What Is in Your Google Workspace Business Box: 6 Blocks
1. Communication: From the First Email to the Team Meeting
- Gmail — custom-domain business email integrated with calendar, contacts, files and Gemini. Next to the email — the meeting, the task and the right document.
- Google Calendar — shared calendars, participant availability, appointment booking, working hours across time zones.
- Google Meet — video meetings with the team, clients and partners; in Business Standard and above — meeting recording, noise cancellation, attendance tracking.
- Google Chat — direct and group messages, topic spaces for projects, kept separate from email.
- Google Contacts and Google Groups — the organisation’s address book, mailing lists and user groups for access management.
2. Collaboration: A Single Information Space, Not Just Files
- Google Drive — centralised storage with shared drives: files belong to the organisation, not the employee, and remain after they leave.
- Google Docs, Sheets and Slides — simultaneous editing, comments, version history; eSignature in Docs.
- Google Forms — surveys, registration forms, client requests, internal HR questionnaires.
- Google Sites — intranet portals, project pages and knowledge bases with no web development.
- Google Keep and Google Tasks — notes, lists, reminders and tasks linked to Calendar.
3. Content Creation: Video, Diagrams, Presentations
- Google Vids — a video editor for training materials, instructions and internal announcements; AI helps with the script, visuals and voice-over, so no video production team is needed.
- Google Drawings — simple diagrams, flowcharts and visual explanations of processes.
- Google Slides — commercial proposals, product presentations, reports, training materials.
4. Gemini: AI Inside the Work, Not Beside It
- Gemini in Gmail, Docs, Sheets and Meet — email drafts, thread summaries with the key agreements, document or presentation creation, data analysis in a spreadsheet, meeting notes, search across working materials. Gemini works with information from several Google services in one context — for example, it prepares a reply based on a thread and a document in Drive, provided the user has the corresponding access rights.
- Gemini Notebook (formerly NotebookLM) — research on your own sources: upload documents, PDFs, presentations and web pages, then ask questions and get overviews, audio summaries and connections between materials. Before a product launch, a founder gathers market research, competitor proposals, technical documentation and meeting notes in one Notebook instead of re-reading everything each time.
- Google Workspace Studio — AI agents and workflows built without code: sorting messages, processing requests, preparing information, triggering the next step of a process.
5. AppSheet and Apps Script: When Standard Tools Are No Longer Enough
- Google AppSheet — no-code apps for equipment registers, request logging, task control or field staff in a warehouse, on site or on the road.
- Google Apps Script — automation and integrations in JavaScript for organisations that want to adapt Workspace to their own processes.
AppSheet and some Apps Script capabilities may carry additional licensing or technical conditions — check before planning the project.
6. Security and Administration: Invisible but Critical
- Google Admin Console — management of accounts, settings and services for the whole organisation, including units in several countries.
- Google Vault — retention, search and export of corporate data for archiving and eDiscovery (Business Plus and above).
- Endpoint Management — management of the laptops and smartphones used to access the work environment, with remote wipe on a lost device.
- Two-step verification, context-aware access, Security Center — protection of accounts and data; the feature set depends on the edition.
Google Workspace for European Organisations: 4 Scenarios That Matter Here
- GDPR, NIS 2 and DORA evidence. Google Workspace is covered by a GDPR-aligned Data Processing Addendum; Vault provides retention and eDiscovery for audits and data-subject requests; Admin Console audit logs, two-step verification and context-aware access give the access controls that NIS 2 and, for financial entities, DORA require you to evidence.
- Data location in the EU. In Enterprise editions, Data regions lets the organisation choose the European Union as the storage location for covered data, and client-side encryption keeps the encryption keys under the organisation’s control rather than Google’s.
- Multilingual teams across Europe. The Gmail, Docs and Meet interface is available in the EU languages, and Gemini drafts, summarises and translates across them — a team in Athens, Bucharest, Vienna and Warsaw works on one document in its own languages.
- Migration from Microsoft 365 or on-premises mail. Google’s migration tools move mailboxes, calendars and contacts, and Softprom plans the move so that both environments run in parallel during the transition, with no interruption to mailboxes.

Which Google Workspace Edition to Choose
- Business Starter — for founders and teams of up to 300 users: domain email, 30 GB per user, Meet for up to 100 participants, basic Gemini features.
- Business Standard — for teams that need 2 TB per user in pooled storage, meeting recording in Meet, shared drives and extended Gemini features in Docs, Gmail and Meet.
- Business Plus — for organisations that need Vault for archiving and eDiscovery, advanced device management, 5 TB per user and Meet for up to 500 participants.
- Enterprise — for organisations with requirements for security, data governance, Data regions, client-side encryption, Security Center and no limit on the number of users.
The feature set differs between editions, so compare the specific features your team needs rather than the plan names. Editions can be mixed within one domain.
Annual or Flexible Subscription: Which to Choose
Google offers a Flexible plan with monthly payment and no commitment, and an Annual plan with a fixed number of licences for 12 months.
- Lower licence cost. The Annual plan carries a lower price per user; for an organisation with several dozen employees the difference shows in the annual budget.
- Predictable spend. The number of licences and the budget for the work environment are known in advance.
- Gradual adoption. The team starts with email and documents and switches on Vids, AppSheet and Workspace Studio later within the same subscription.
- Access to updates. New Gemini and service features become available according to the edition, with no charge for a “new version”.
The Annual plan commits you to the licences purchased: their number can be reduced at renewal. For organisations with a changing headcount the Flexible plan is more appropriate. An Annual plan does not mean paying the whole amount up front — through Softprom, monthly payment on an annual commitment is available.
