Keep your sources up to date with automatic Drive syncing in NotebookLM

News | 26.05.2026

Imagine an AI assistant that accurately deeply understands your internal company data and rewrites its insights the exact second you edit a document. Google’s latest update brings exactly that to NotebookLM, removing the hassle of manual file updates. Whether you are looking to upgrade your current cloud setup or want to buy Google Workspace for the first time, Softprom is here to help your team seamlessly integrate these advanced AI tools into daily workflows.

Google has introduced a highly anticipated update for NotebookLM that automates the synchronization of source documents with Google Drive.

Previously, if you uploaded a file from Google Docs, Sheets, or Slides into NotebookLM, any subsequent modifications made to the original document required a manual update within NotebookLM to reflect the changes. With this new feature, the manual effort of re-syncing files is entirely removed. As content is added, altered, or deleted in Google Drive, the information within NotebookLM is automatically updated accordingly.

Google notes that this new capability strictly respects file deletions and sharing permissions. For instance, if a user's access to a specific Google Doc, Sheet, or Slide is revoked, they will no longer be able to use that file as an AI source. However, to maintain structure, the source will still appear in the notebook's source list as a link, allowing the user to request access if needed.

The automatic synchronization feature is rolling out gradually (up to 15 days for full visibility) and is available to all Google Workspace customers.

What's new and important in NotebookLM (3 Key Points):

  • Core Workspace Service with Enterprise-Grade Protection: NotebookLM and NotebookLM Plus are available as standard core Google Workspace services in over 180 regions. This ensures that your corporate data is fully covered under enterprise-grade data protections, meaning your internal business data is never reviewed by anyone or used to train public AI models.
  • Integration into Google Workspace Studio: NotebookLM is integrated into Google Workspace Studio (formerly Google Workspace Flows). Businesses can now use existing notebooks as an AI knowledge source for automated workflows, leveraging the new "Ask NotebookLM" step to generate grounded responses and scheduled reports based on internal research.
  • Support for Advanced Audio Overviews and Multi-Format Sources: NotebookLM supports a massive knowledge base per user (up to 100 notebooks, with up to 50 sources each, including PDFs, Google Docs/Slides, YouTube links, and web pages). It also features Audio Overviews, allowing teams to generate engaging, interactive audio discussions based on uploaded multilingual text sources.
